📧 Sending Mass Communications to Homeowners

📨 Mass Communications

When you need to communicate with all homeowners or a specific group, you can request that management send a mass email or mailing on behalf of the board.

How to Submit a Mass Communication Request

💠 Step 1: Access the Requests Tab

  • Log into the portal

  • Click on the Requests tab in the main navigation

💠 Step 2: Create a New Request

  • Look for New Request or Submit Request button

  • Select the request type for mass communication (may be labeled "Email Blast," "Mass Communication," or similar)

💠 Step 3: Provide Communication Details

Include the following information in your request:

Subject Line:

  • Write a clear, concise subject line for the email

  • Example: "Important: Annual Meeting Notice - March 15, 2026"

Message Content:

  • Write the full text of your message

  • Be clear and professional

  • Include all necessary details (dates, times, locations, deadlines, etc.)

  • Proofread carefully before submitting

Delivery Method:

  • Specify if you want email, physical mail, or both

  • Email is faster and more cost-effective

  • Physical mail may be required for certain legal notices

Target Audience:

  • All homeowners (most common)

  • Specific units or sections

  • Only owners vs. owners + tenants

  • Specify if you have special requirements

Attachments (if applicable):

  • Attach any files that should be included (meeting agendas, forms, notices, etc.)

  • Ensure files are in PDF format when possible

Timing:

  • Indicate when the communication should be sent

  • "As soon as possible" or specify a date

  • Allow management time to process (typically 1-3 business days)

💠 Step 4: Submit the Request

  • Review all information for accuracy

  • Click Submit

  • You should receive a confirmation

💠 Step 5: Follow Up

  • Management will process your request and send the communication

  • You may receive a confirmation once it's been sent

  • If urgent, you can follow up with your property manager

When to Use Mass Communication

✔️ Required/Legal Notices:

  • Annual meeting notices (required by law - check your bylaws for timing)

  • Special assessment notices

  • Rule changes or amendments

  • Election information and ballots

  • Budget ratification notices

✔️ Important Community Updates:

  • Emergency notifications (water shutoffs, safety issues)

  • Major maintenance projects

  • Policy changes

  • Board election results

  • Changes to amenities or services

✔️ Community Information:

  • Upcoming events and social gatherings

  • Reminders about community rules

  • Seasonal information (pool opening, holiday schedules)

  • Vendor changes (new landscaping company, etc.)

  • Welcome messages to new homeowners

Best Practices for Mass Communications

✅ Be concise - Homeowners are more likely to read shorter messages

✅ Use clear subject lines - Make it obvious what the email is about

✅ Include action items upfront - If homeowners need to do something, say it clearly at the beginning

✅ Proofread - Typos and errors reduce credibility

✅ Don't overuse - Too many emails lead to "email fatigue" and homeowners will stop reading

✅ Timing matters - Send important notices well in advance of deadlines

✅ Legal compliance - Ensure required notices meet your governing documents' requirements for timing and delivery method

✅ Professional tone - Communications represent the board and should be respectful and professional
